CollaborateMD Monthly Pricing Details:
  • The monthly minimum is $149 per account.
  • The monthly pricing plan you choose will be charged to each active, rendering provider. (“Active provider” is defined as any provider who processed any transactions in a month.)
  • Your account set-up includes one (1) tax ID. Tax ID add-ons are $99 each.
  • Low Volume Discounts:
    • At least one provider per customer/practice in your account is charged at full price. But, if you have a second (additional) provider in the customer/practice that is processing 6 to 75 claims to the clearinghouse per month, that provider will be billed for only half of the monthly per-provider fee. If you have a second (additional) provider in the same customer/practice submitting five or fewer claims per month to the clearinghouse, that provider will not be assessed the monthly fee at all.
  • If a provider submits more than 750 electronic claims per month, additional claims are charged at $0.15 each.

Appointment Scheduling
CollaborateMD has designed one of the most robust appointment schedulers on the market. Unlike competing scheduler modules, our state-of-the-art model allows for customized schedules per resource, custom colors for appointment status, daily and weekly view options, open slot search ability, block times, wait lists, and much more. By customizing your individual office schedules, you can easily manage appointments, add/edit new or existing patients, and verify patient eligibility. These features greatly enhance your office productivity, efficiency and communication to keep things running smoothly.

Phone Notification System
Our phone notification system allows your office to notify patients of upcoming appointments to reduce staff phone calls and no-shows. Choose what time of day and how soon prior to the appointment you want the system to place the call. Patients are allowed to verify or cancel the appointment by using the keypad on their phone. All results are automatically uploaded directly into the medical office appointment scheduler for maximum convenience.

Patient Records
Inside CollaborateMD, patient data is organized into tabs on the same screen, so you can quickly add, find, or edit what you need without endlessly searching throughout the system or referencing separate software. Point-and-click navigation moves you easily through the patient's demographic information, insurance, financial history, appointments, uploaded documents, eligibility checks, claim and statement activity, and much more.

Real-Time Patient Eligibility
Verifications, which can take upwards of 15 minutes via phone inquiry, are now reduced to a simple electronic transmission, delivering instant verification of eligibility, coverage, benefits, and other pertinent patient notes from payers. Benefits include saving hours of time spent on the phones or searching for lost patient eligibility records, and greatly reducing debts due to uncollectible accounts receivable.

Claim Validation
With our Claim Validation Engine, you can inspect your claims for errors before having them submitted to the clearinghouse. Our validation engine includes hundreds of thousands of edits for CCI-, HIPAA-, and carrier-specific problems. This is just one more way our practice management system helps speed up payments for electronic claims processing.

ClaimTracking
Reduce denials from the start with our exclusive ClaimTracking tool. CollaborateMD helps you to easily manage and track the life of your claims while we scrub for errors. First, we will thoroughly scrub your claims before submitting them to the clearinghouse, and then we’ll provide detailed reporting via a customizable interface which quickly guides you through making the necessary revisions to accurately submit your claims for adjudication. This translates into knowing which claims were rejected and why, and having the power to correct and resubmit them in real-time with the click of a button.

Claim Control
Claim Control allows users to easily change the status of multiple groups of claims at once. Once your edits have been made, the Claim Control panel is where you can reflag only those claims that need to be resent to the payer, saving you hours in sending claims one at a time.

Automatic Claim Submission
CollaborateMD automatically distributes CMS-1500 or UB92/04 claims electronically to the correct payer on a daily basis. The key advantage to this feature is that you will no longer have to create claim batches (which could take hours with a competing software), or wait for confirmation that your electronic claims have been sent (which could take days with a competing software). Additionally, we provide clearinghouse reports which explain which claims have been acknowledged and which have been excluded, enabling you to immediately make corrections and resend your claims.

Real Time Adjudication (RTA)
Real Time Adjudication allows you to instantly submit a claim to the insurance company and receive the expected payment or denial within seconds. No longer will you have to wait days or weeks to find out whether the claim was accepted, rejected, or denied.

Batch EOB Posting
With our batch EOB posting, you can enter all of the payments from one check at a time. This feature shows you the check amount with the real-time applied and remaining balances. If you need to stop in the middle of posting a check, CollaborateMD will allow you to finish applying your payments at a later time. Once a batch is posted, make any additional changes, or quickly commit the check with the click of a button.

Line Item & Account Posting
Whether you want to apply payments to a specific line item of a claim or directly to a patient’s account, you’ll find it easy to post insurance payments, patient co-pays and deductibles, or credits and adjustments. Additionally, you can post payments or credits prior to the charge existing, and transfer the payment to the charge once entered.

Electronic Remittance Advice (ERA) with Auto-Apply
Automatic posting improves accuracy, reduces labor costs, and shortens the old-fashioned process down to seconds. ERA with auto-apply allows you to receive your remittance advice (EOB) electronically, so you no longer have to wait for them to arrive in the mail. Once received, you can review EOBs directly in the system, and automatically post payments and adjustments to each, by charge. You can also customize workflows based on the remittance advice codes received in the ERA file, and make necessary changes on the fly, resulting in faster patient statement processing.

Electronic Patient Statements
We'll send out your customizable patient and final demand notice (FDN) statements to help you minimize staff labor, reduce printing and mailing costs, and expedite payment from your patients. To keep your costs low, there is no additional charge for multi-page statements or USPS FASTforwarding. We’ll even include the return mailing envelope to help you get paid faster.

Batch Printing
Our batch printing feature allows you to retrieve a group of CMS-1500 or UB92/04 claims, superbills, patient statements, or FDNs, then review and create your own batch for printing all at one time.

Comprehensive Reporting
CollaborateMD comes with over 75 standard reports to help you better manage your office and accounts receivable. Specify your selection criteria to return only the statistics you want, then run and view multiple reports at once, or export them for use in Microsoft Excel.
